With approval turned on, a post only goes out once it’s approved. The Owner or an Administrator turns it on in Settings, Workspace, with the “Require post approval” option. Without it, Editors schedule posts without approval.
Within the team
- The Editor writes the post and clicks “Send for approval”. The post moves to the “Awaiting approval” tab.
- Everyone who can approve, meaning the Owner, Administrators and the brand’s Manager, gets a notification.
- The approver opens the post and clicks “Approve” or “Reject with a note”. The author sees the note on the post.
Any change to the content after approval sends the post back to drafts and removes the approval. That way no version goes out that nobody has seen.
By a client without an account
- Open a post with the “Awaiting approval” status and click “Approval link for the client”.
- Copy the address and send it to the client. Later you’ll only see the expiry date.
- The client enters their full name and clicks “I approve” or “Request changes”. Notes are required when requesting changes.
The link is valid for 7 days and works once. A new link invalidates the previous one. An approved post is published at the scheduled time, and the author is notified of the client’s decision. The decision is also recorded in the activity log.
